Minutes of January 29th, 2008 Waco Eagles Meeting

7:00 PM Tuesday evening

Jeff Gilbert President opened the meeting @ 7:00 pm our regular monthly with the Pledge of Alliance to the Flag.

Jeff stated before the meeting get started that Mike Haynes had fallen at the Arena Cross @ the HOT Coliseum and has 2 broken ribs and he went to work on Tuesday with the Barger Bunch not acknowledging anything was wrong or wishing him a speedy recovery.

Minutes were read from November 27, 2007 meeting with 3 corrections:

The TCL the club still owed $ 23,000.00 on instead of $ 7,000.00

The part for the TCL has been ordered but is not in yet.

The teeth for the TCL haven’t been ordered yet because of lack of financing.

Due to the lack of funds Jeff cautioned each club member to check with Ross before spending any money since the club has upcoming taxes which need to be paid.

Treasurer: Ross Stovall gave the treasurer’s report:

Under old business

The 150 cc can run in the 85 cc class the E-board voted 4 to 1 to add the 150 cc to the class. Jeff was present at the vote acting as mediator. Also the 50 cc class would be free with every beginner getting a participation medal.

On Wednesday it rained and Ross put the rain lock on the track. On Friday someone had driven down & rutted the road the rain lock and lock was left on the ground and the key to rain lock was no where to be found & the gate was left unlocked. The comment was again made throughout the members it’s always a few members & non members ruining it for the members.

 

 

Jeanine Davis suggested that a mail out when she sends out the renewals warning members against leaving the gate unlocked, open and using the track when the rain lock was in place. Curtis Stevens said that there should be some consequences when riders are riding with no paid club members present. Jeanine and Curtis both reported that they kicked out the whole bunch when there were caught on the premises.

Jeff suggested at this time that arm bands for the next MX Race should be issued. Motion was made and carried by the members.

Under New Business:

January at the last MX Race scoring tower needs to be torn down since the finish line has been moved. Jeff suggested cutting off the scoring tower and building a box under structure and moving it to the finish line. Jeff said he would make steps to move the scoring tower to the new finish line.

Lori brought up the trophies left over and it would be hard patching them. Wayne Coughran spoke up and suggested that the MX recycle trophies just like the flat track did.

Curtis Stevens at this time asked what the guidelines were for the treasury in spending money. Jeff and Tanya both spoke up and said what is necessary and needs to be done that is why Jeff has held off buying the teeth for the TCL because of finances.

Expenses to charter the club and the sanctioning the upcoming Flat Track National Petra had to spend $300.00. Wayne Coughran said he holds his tickets until he finishes maintenance. Wayne, James Taylor and Glenn were repairing the Flat Track Fence.

Jeff wanted to bring up at this time that in:

2007 new members 64 and in 2008 we had only 21 new members

14 discounted members 8 discounted members

The club added 21 new members the club charged $ 250.00 for new memberships last year. The enrollment being prorated after January.

With a 33% in new members in 2008 compared to 67% in 2007 records show that 90% of our income source is from renewals which is also down by 20% from last year.

Anthony Woods stated that the club was up 1/3 in 2007. Jeanine Davis stated that maybe we should drop the new memberships to $ 150.00 and go to $ 100.00 for renewals.

Tony Moore thought the $ 250.00 was high and suggested $ 100.00 per membership would be easier to sell. Discussion broke out over new membership rates. Curtis Stevens interjected nothing ever went down. Jeff and Ross both commented nothing had to be decided tonight. And even if we did change it the rate could always be changed again. Glenn McNamara, Vice President spoke up at this time and said that reason why the new membership was set @ $ 250.00 while he was president we had over 300 members and the club members wanted to slow down the growth so the new memberships were raised by the club voting to that amount. Dean Poteet interjected to change the membership fees. Jeff asked Dean if he would like to make a motion to change the dues to $ 100.00 for new memberships and renewals. Glenn seconded the motion and the motion carried. New memberships and renewals will go into effect immediately. Tony Moore spoke up and said we could try it and see how it works. Jeff interjected that this is a 6 month special promotion. Anthony Woods spoke up and said the club could have a Promotional Membership Drive.

Jeff at this time asked who makes up the rules since the Waco Eagles didn’t have a referee or race director. Jeanine David spoke up and asked who enforces the rules and Jeff said who ever is running the races. Discussion broke out over the vague rules and the race director.

Glenn at this time announced that at the National VDTRA Flat Track Race in April there would be an Open Pro with a cash purse. Glenn had already talked with several of the Pro Riders Sammy Sweet, a PRO rider said he would talk it up.

Jeff at this time made a motion to adjourn and Anthony Woods seconded it. Meeting adjourned.
